according to PhoneTree.com:

PhoneTree, an automated congregational messaging system, allows you to combine voice, email, and text messages, insuring that you deliver your messages, not just send them out.

Well, here at 1141 E Lebanon Rd, we do have this ‘congregational messaging system!’ And here are some tips and tricks on how to use PhoneTree successfully.

Tips
A) Schedule
1) The PhoneTree message should be delivered 1-2 days before the event.
2) A report may need to be processed to create your call-list. Please allow an extra 24-48 hours (do not include Mondays) to process the report.

B) Voice
1) Choose a specific individual who will record your PhoneTree message.
2) Each ministry should designate multiple PhoneTree message recording volunteers.
3) While recording the message, the person should be upbeat and enunciating correctly.
4) Your friendly neighborhood database manager will record your message, but should not be your default PhoneTree volunteer.

C) Message
1) A script needs to be prepared in advance of recording.
2) The message should be less than 1 minute.
3) The message needs to include the following:
a) Calvary Assembly of God
b) ministry responsible for the event
c) event day
d) event date
e) event time
f) event place, both inside or outside of CAG
g) method of finding more information about the event

Tricks
A) If recipients listen to your message live (not in their voice-mail), they are able to repeat the message by pressing star [*] ‘on their telephone touch-tone keypad’. Your message should communicate this by ending with: ‘You may press star to repeat this message.’

B) Sometimes, the message isn’t delivered/received w/ 100% accuracy, and people call the church to find why they were called. To answer these call-backers, a copy of your PhoneTree Script needs to be given to the church receptionist.

C) It’s best to use the PhoneTree in the afternoon. This way, people will either get it on their voice-mail when they first get home from work, or you will actually call them when they are home. Trust me, afternoon is best, I was a telemarketer for 2.5 years!

D) Go to the PhoneTree section of the Documents Page, for a handy-dandy template you can use for your next PhoneTree. Just print it out [I can't believe I just told you to do that], fill-in the blanks, and viola!

So, all you need to know now, is how to let me know you want to use the PhoneTree.

Just scribble stuff on a small piece of scrap paper, and hand it to me as you pass me in the hall.

1) Go to Report Request and use PhoneTree as the Subject line.
2) Include whom you want called (i.e. sanctuary choir, men, teens, etc.) and when.
3) Send the email.
4) Don’t forget to print and create your script.
5) Have yourself or your designated PhoneTree volunteer arrive at my desk, ready to record your message, on your PhoneTree day.
